Job Summary
The Sales Admin Assistant is responsible for receiving, validating, encoding, and monitoring customer orders from confirmation until completion of delivery. The role ensures order accuracy, correct pricing and terms, proper documentation, and timely coordination with warehouse and dispatch to prevent delays, errors, and disputes.
Key Responsibilities:
A. Order Receiving & Validation
- Receive customer purchase orders (PO) via email, Viber/WeChat, or sales agent
- Flag issues immediately (wrong price, stock concerns, overdue AR, unclear request)
Verify the following before encoding:
correct customer name/account
correct item codes / descriptions
correct quantity and unit
approved price list / discounts
payment terms / credit status
requested delivery date/time
